Fixed-scope dashboard builds
One agreed dashboard at one agreed price, delivered end to end — sources connected, model built, visuals designed, refresh scheduled, and the whole thing handed over documented rather than hinted at.
Power BI consultant · Chicago & the collar counties
Loads, cases, policies, or patients are counted in one system; the ledger that books the money sits in another; and the number leadership actually reads is a spreadsheet somebody stitches together every Monday morning. We are the senior, US-based team Chicagoland operators bring in when those three finally have to agree inside one governed model.
Buy it as a fixed-scope dashboard build from $2,500, or as prepaid hours that never expire and start at $100 — against Chicago consultancies that publish $150–$300 an hour and five-figure project floors. Central-time delivery, no retainer, no paid discovery phase. See Flex pricing.
Representative dashboard — sample data
Remote-first, senior, no lock-in
Chicagoland is not one buyer, it is five. A brokerage on the near West Side counts loads and margin per load. A food plant out past Elgin counts cases, yield, and the deductions a retailer takes off the invoice six weeks later. A brokerage in Oak Brook counts policies, commission, and retention. A health system counts throughput and days in accounts receivable. A distributor in Elk Grove Village counts fill rate and turns. Different words, identical problem: the operational system knows what happened, the ledger knows what it cost, and nobody has modeled the join between them.
That is the work we do, and it is why the engagement usually starts with definitions rather than visuals. Before anyone opens Power BI Desktop, somebody has to decide whether a load is counted on pickup or delivery, whether a deduction reduces revenue or becomes an expense, and whether a policy counts in the month it was bound or the month it was billed. Get that wrong and every chart built on top is confidently incorrect — which is precisely the state most of the reports we are asked to rescue arrive in.
We work Central-time hours for Chicago clients, which is the practical reason this arrangement suits teams here. A build that needs six or seven short conversations to settle the grain and the definitions turns into a three-week calendar problem when half your vendor is on Pacific time. On Central time it stays a three-day engineering problem, and the review call lands inside your working day rather than at the edges of it.
Where we start
Most begin one of three ways: a single fixed-scope dashboard that settles an argument leadership keeps having, a health check on an inherited Power BI estate nobody trusts, or a block of prepaid hours pointed at a reporting backlog that has been sitting since the last budget cycle.
What’s included
Take one piece or the whole program. Every task is scoped in hours and approved before it starts — as a fixed-scope build or against a prepaid Flex block.
One agreed dashboard at one agreed price, delivered end to end — sources connected, model built, visuals designed, refresh scheduled, and the whole thing handed over documented rather than hinted at.
A star-schema model with a single definition per metric, so margin per load, net revenue after trade spend, and commission mean the same thing in the board pack as they do on the operations floor.
Scheduled refresh timed to a Central-time morning, gateway configuration documented, and failure alerts routed to a named person instead of being discovered live in a dispatch or revenue review.
Workspace structure, dataset certification, and row-level security so a terminal manager, a producer, or a clinic administrator sees only their slice while the executive team still sees the consolidated view.
A structured review of workspaces, models, refresh reliability, security, and licensing, returned as risk-ranked findings and a remediation plan your team can work down over a quarter.
Recorded walkthroughs, documented measures, and named owners, so the analyst who runs this report every week can change it without waiting on us or on anyone else’s calendar.
How it works
Thirty minutes on Central time. You describe the decision the report has to support and which systems hold the data; we ask the questions that decide whether this is a two-day job or a two-week one. Nothing is billed for this.
You get a written scope with a fixed hour count and price before anything starts. Approve it and work begins; walk away and you have spent nothing. Hours are only ever deducted against work you approved.
We build inside your tenant, review it with you on a screen share, then hand over the model, the report, the documentation, and a recorded walkthrough. Most focused tasks land in three to five business days.
They are operational before they are financial. A freight brokerage wants margin per load next to carrier performance, because a lane that looks busy can still lose money once accessorials, detention, and a re-brokered load are counted. A food manufacturer wants net revenue by customer after trade spend, because the invoice price and the money actually collected are separated by deductions nobody reconciles until quarter end. A commercial brokerage wants commission and retention by producer before renewal season, not during it.
Five sectors, one shared shape. The table below is the map we start from on a Chicago scoping call — the recurring question, the systems that hold the answer, and the first dashboard we would usually build.
| Chicago-area sector | The question leadership keeps asking | Where the data usually lives | Typical first dashboard |
|---|---|---|---|
| Freight brokerage & 3PL | Which lanes, carriers, and customers actually earn once accessorials and claims are counted? | TMS and load boards, carrier settlement files, EDI status messages, the accounting ledger | Margin per load by lane and customer, with carrier on-time performance and accessorial leakage |
| Food & CPG manufacturing | What does each customer really pay us after trade spend and deductions? | ERP and MES, retailer and distributor scan data, broker deduction reports, freight and 3PL feeds | Net revenue by customer and SKU, with trade-spend and deduction leakage |
| Insurance & commercial brokerage | Which books and producers are growing, and what is quietly not renewing? | Agency management systems, carrier commission statements, policy and claims extracts | Commission and retention by producer, book, and carrier, with a renewal pipeline view |
| Health systems & provider groups | Are sites hitting throughput and getting paid on the schedule we planned for? | EHR and practice-management extracts, scheduling systems, payer remittance files | Days in A/R and denial rate by payer, alongside throughput and no-show rates by site |
| Industrial distribution | Where is working capital stuck, and which branches make money on it? | ERP inventory and sales history, purchasing and vendor rebate records, warehouse systems | Fill rate, inventory turns, and gross margin by branch, vendor, and product line |
If your sector is on that list, the industry pages go deeper on the metrics themselves — manufacturing and logistics reporting, wholesale distribution dashboards, and Power BI for insurance brokers, with agency-system specifics on our Applied Epic dashboard page. This page is about how the work is delivered to a team on Central time.
Two numbers bracket the decision, and both are worth checking yourself. Chicago-focused consultancies publish their own rates: one competitor’s Chicago location page lists $150 to $300 per hour and fixed-price dashboard projects typically starting around $15,000. Those are real published prices for real firms with offices, account teams, and a bench — and they are also the reason a single dashboard often never gets built, because it cannot clear a five-figure minimum.
| Option | How the price is set | What you commit to | Where it fits |
|---|---|---|---|
| Chicago consultancy | Published rates on competitor location pages run roughly $150–$300 per hour, with project floors quoted around $15,000 | A scoped SOW that must clear the minimum, often with a retainer attached | Large multi-workstream programs that genuinely need a team, a PM, and an account layer |
| Contract developer via a job board | An advertised hourly wage, before the recruiter’s margin | Onboarding, supervision, and your own senior review time on top of the advertised rate | Long-running staffing gaps where you supply the design direction and the code review |
| Full-time analyst hire | Salary plus benefits, tooling, and ramp-up time | Months of hiring, then permanent headcount whether the backlog is full or empty | Steady, high-volume internal reporting demand that justifies a permanent seat |
| Prepaid Flex block (this practice) | $2,500 / $4,600 / $8,000 prepaid, from $100 per hour on the largest block | Nothing beyond the block — no retainer, no project minimum, and hours never expire | A first dashboard, a rescue, or a backlog you want cleared by one named senior engineer |
Two honest caveats. Published rate cards change and plenty of firms never publish one at all, so check the current page rather than taking our word for it. And an advertised contract wage is not a comparable price — it excludes the recruiter’s margin, the benefits load, and the senior design judgment you would still have to supply. What a Power BI consultant costs per hour breaks the whole rate spectrum down, and our Power BI consulting service covers the strategy, governance, and rollout side nationally.
Two ways to buy, same engineer. A single dashboard can be quoted as a fixed-scope build: we scope it after the free 30-minute call, quote an hour count and a price, and that is what you pay. For ongoing work, prepaid Flex blocks are cheaper per hour and far more flexible — you bank hours, send tasks as they come up, and each one is scoped and approved before it draws down. Hours never expire, which matters in a business with a peak season, because the block you buy in a quiet February is still there in October.
| Flex block | Prepaid hours | Price (USD) | Typical fit |
|---|---|---|---|
| Starter | 20 hours | $2,500 | A first fixed-scope dashboard, a health check, or a targeted fix |
| Growth | 40 hours | $4,600 | An ongoing backlog across several reports |
| Power | 80 hours | $8,000 | A multi-report rollout at our lowest hourly rate, from $100/hour |
If what you need is capacity rather than advice, hire a Power BI developer by the hour describes engaging one named senior engineer against your own backlog. Teams elsewhere on Central time can compare notes on our Power BI consultant Dallas and Power BI consultant Austin pages, and the full mechanics — scoping, hour logging, what happens when a block runs low — are on how it works and pricing.
Access design comes up early here, because so much Chicagoland data is either commercially sensitive or regulated. Carrier rates and customer margins are exactly what a departing salesperson should not be able to export. Trade-spend terms differ by retailer and are contractually confidential. Commission splits are personal to a producer. Clinical and revenue-cycle reporting touches protected health information. In each case we design to the minimum necessary, put row-level security in Power BI (opens in new tab) around the rest, and write down the access decisions so somebody can answer for them later.
Everything is built inside your own tenant, under your existing agreements and controls, so the data never moves to us. What we will not do is make the compliance determination on your behalf — whether a given dataset can be reported on, and by whom, stays with your team. We build to the rule you set, and we would far rather design that once at the start than retrofit it after a report has already been shared with sixty people.
Nearly every report we are asked to rescue is slow and distrusted for the same reason: the wrong grain was chosen early, then papered over with DAX for a year. A load, an invoice line, a settlement transaction, and a deduction are four different grains, and a model that blends them without a proper fact-and-dimension split produces numbers that are subtly wrong in ways nobody can trace back. We design against Microsoft’s star schema guidance (opens in new tab), and it is a fair thing to ask any consultant you are evaluating about — us included.
Where the source systems sit behind an on-premises ERP, a warehouse server, or an agency management system, the refresh path matters as much as the model. We document on-premises data gateway (opens in new tab) configuration and set scheduled refresh (opens in new tab) windows so the report is finished before the first Central-time meeting, not halfway through it. Our data modeling and DAX work covers that craft in detail. When you are ready, send us the task and we will scope it.
Flex hours
Starter $2,500, Growth $4,600, or Power $8,000 — from $100/hour at the largest block. Senior-led, US-based, and the hours never expire.
Who it’s for
Finance and operations leads who need margin per load, carrier performance, and accessorial cost computed once from the TMS and the ledger, instead of reconciled in a workbook every week.
Plants and brands across the metro measuring yield, customer profitability, and net revenue after trade spend, deductions, and freight rather than at list price.
Agency leaders in the Loop, Oak Brook, and Schaumburg tracking commission, retention, and renewal pipeline by producer and carrier ahead of the season, not during it.
Provider groups reporting throughput, denials, and days in A/R, and industrial distributors along the I-55 and I-80 corridors watching fill rate, turns, and branch margin.
Representative perspective
“Operations counted a load on pickup and accounting recognised it on delivery, so every margin review started with an argument about the denominator. One model with the definitions written down ended that.”Finance director, mid-market freight brokerage
Representative perspective
“We needed customer profitability after deductions, with each broker’s numbers locked to their own book. The scope came back in writing, and the refresh has finished before our morning production call since.”Operations leader, regional food manufacturer
Or the refresh that fails overnight, or the model nobody trusts. Thirty minutes on Central time is usually enough to tell you what it takes — and you get that answer whether or not you buy anything.
FAQ
No. We are a US-based, remote-first practice and we would rather say that plainly than imply a River North suite we do not rent. Work happens inside your own Power BI tenant over a screen share, on Central-time hours, and the money you would spend on an address goes into engineering hours instead.
Yes. Scoping calls, review sessions, and handovers are booked in your working day, not squeezed onto the edges of one. For a Chicagoland team that matters more than it sounds: a definition question raised after the morning stand-up gets settled that same afternoon instead of waiting for a coastal calendar.
Five, mainly: freight brokerage and third-party logistics reporting margin per load; food and CPG manufacturers measuring net revenue after trade spend and deductions; insurance and commercial brokerages tracking commission and retention; health systems watching throughput and revenue cycle; and industrial distributors reporting fill rate, inventory turns, and margin by branch.
Because those rates carry an office, an account manager, and a bench between projects, and none of the three touch your semantic model. One senior US-based engineer scopes your work and then builds it. Prepaid hours start at $100, and a first fixed-scope dashboard is usually $2,500 rather than a five-figure floor.
Yes, and most Chicago engagements start that way. After a free 30-minute call you get a written scope with a fixed hour count and a fixed price, and nothing begins until you approve it. A first dashboard usually fits inside the Starter block at $2,500, with no work billed that you did not approve.
Hours are prepaid in three Flex blocks: Starter 20 hours at $2,500, Growth 40 hours at $4,600, and Power 80 hours at $8,000, which is our lowest rate at $100 per hour. Hours never expire, no retainer is required, and each task is scoped and approved before it draws down.
You do, entirely. Everything is built in your own tenant, with documented measures, no proprietary layer, and no licence pointing back at us. End the engagement tomorrow and your team keeps every model, report, and document, and has the notes needed to maintain them without calling us.
