Fixed-fee dashboard builds
One scoped dashboard, one agreed price, delivered end to end — sources connected, model built, visuals designed, refresh scheduled, and the whole thing handed over documented.
Power BI consultant · Dallas–Fort Worth
Freight moves through the Metroplex, crews run in the field, claims move through revenue cycle, and back-office queues never stop — and the numbers that describe all of it sit in four systems that disagree. We are the senior, US-based team DFW operators bring in to turn that into governed reporting people act on.
Delivery is remote with live Central-time coverage, priced either as a fixed-fee dashboard build or prepaid hours that never expire. Start with a free 30-minute scoping call. See Flex pricing.
Representative dashboard — sample data
Remote-first, senior, no lock-in
North Texas runs on things that move: pallets through distribution centers, trucks and aircraft through one of the country's busiest inland freight corridors, crews and equipment out to job sites, patients through hospital systems, and transactions through the back offices of banks, insurers, and servicers that have been consolidating operations in the Metroplex for years. Every one of those businesses is measured hourly, and almost none of them measure themselves from a single system.
The pattern we meet is consistent. A WMS or TMS holds the operational truth, an ERP holds the financial truth, a spreadsheet reconciles them on Monday, and the report everyone actually presents was built by whoever was free on Friday. Nobody is being careless — the systems were bought at different times for different reasons. But it means the on-time number in the operations review does not tie to the margin number in the finance pack, and the argument about which is right eats the meeting.
Where we start
Most start with one fixed-fee dashboard that settles a specific argument, a health check on an inherited Power BI estate nobody trusts, or a semantic model rebuild that gets metric definitions agreed before another report is drawn.
What’s included
Take one piece or the whole program. Every task is scoped in hours and approved before it starts — as a fixed-fee build or against a prepaid Flex block.
One scoped dashboard, one agreed price, delivered end to end — sources connected, model built, visuals designed, refresh scheduled, and the whole thing handed over documented.
A star-schema model with one definition per metric, so cost per shipment, job margin, and days in A/R mean the same thing in the board pack as they do on the operations floor.
Scheduled refresh that finishes before the shift starts, gateway configuration documented, and failure alerts routed to a person — not discovered when a stale figure reaches a customer.
Workspace structure, naming standards, dataset certification, and RLS so a regional manager, a payer-facing team, or a client-facing account group sees its own slice and leadership sees the whole.
A structured review of workspaces, models, refresh reliability, security, and licensing, delivered as risk-ranked findings with a remediation plan your team can work down over a quarter.
Recorded walkthroughs, documented measures, and named owners, so the people who run the reports every week can change them without waiting on us or on anyone's calendar.
How it works
A free 30-minute call on Central time. You describe the decision the report has to support and what systems hold the data; we ask the questions that decide whether this is a two-day job or a two-week one. Nothing is billed for this.
You get a written scope with a fixed hour count and price before anything starts. Approve it and work begins; change your mind and you have spent nothing. Hours are deducted only against work you approved.
We build inside your tenant, review it with you on a screen share, then hand over the model, the report, the documentation, and a recorded walkthrough. Most focused tasks land in three to five business days.
The questions are operational before they are financial. A distribution operator wants to know whether a lane is still profitable after accessorials, not just whether volume grew. An energy-services company wants job-level margin by crew and by asset, because a fleet that is 80% utilized on the wrong contracts loses money efficiently. A healthcare administration team wants denials by payer and days in A/R by cohort, because a two-day slip in one payer's cycle is a cash problem before it is a reporting problem. A back-office group in financial services wants exception aging and SLA attainment by team, because that is what the client audit will ask about.
Four different industries, one shared shape: the operational system knows what happened, the ERP knows what it cost, and no one has modeled the join. That is the work. The table below is the map we start from in a DFW scoping call.
| DFW sector | The question leadership keeps asking | Where the data usually lives | Typical first dashboard |
|---|---|---|---|
| Logistics & distribution | Are we shipping on time, and is this lane still profitable after accessorials? | WMS/TMS, ERP order and freight-invoice tables, carrier and 3PL files | On-time delivery, fill rate, and cost per shipment by lane and customer |
| Energy services | Which crews, assets, and contracts are actually making money? | Field ticketing, ERP job costing, maintenance and asset-tracking systems | Job-level margin, crew utilization, and equipment downtime by region |
| Healthcare administration | Where is cash leaking in revenue cycle, and are we staffed to demand? | EHR extracts, practice management, claims clearinghouse, scheduling | Days in A/R, denial rate by payer, and provider or department productivity |
| Financial services back-office | Are volumes, exceptions, and service levels under control this week? | Core servicing or banking platform, ticketing/workflow tools, the GL | Processing volume, exception aging, and SLA attainment by team |
| Corporate finance & shared services | Can we close and report one version of the numbers without a spreadsheet marathon? | ERP general ledger, planning tools, and the inevitable side spreadsheets | Budget vs actual, cash position, and a consolidated KPI pack for leadership |
If your sector is on that list, the industry pages go deeper on the metrics themselves — Power BI for wholesale distribution, manufacturing and logistics reporting, and healthcare reporting. This page is about how the work gets delivered to a team in North Texas.
Remote-first only earns trust if the terms are explicit, so here they are. We keep live coverage across the Central-time working day, which means a Dallas or Fort Worth stakeholder books a workshop in their own morning rather than at the end of someone else's afternoon. Everything else — access, turnaround, approval, ownership — is written down below rather than left to a first invoice.
| Term | What we commit to |
|---|---|
| Coverage | Live availability across your Central-time working day for calls, workshops, readouts, and screen-share debugging |
| Kickoff | A free 30-minute scoping call before any commitment, with no sales handoff — you talk to the engineer who does the work |
| Access | Usually a guest account in your own Power BI tenant plus read access to the sources; everything is built in your environment |
| Approval | A written scope with a fixed hour count and price before work starts; nothing is billed that you did not approve |
| Turnaround | Typically 3–5 business days for a focused task; larger builds get a dated plan up front |
| Documentation | Written notes on every task, documented measures, and a recorded walkthrough at handover |
| Ownership | Files, semantic model, DAX, and workspace stay yours — no proprietary layer, no license tied to us |
There is no Dallas office behind this, and we would rather say that than imply one. For Power BI work almost everything happens inside your tenant over a screen share; a downtown address would show up in your rate and nowhere else. What replaces proximity is written work, which is also what makes a report survive the person who commissioned it moving on.
Operational companies break ungoverned tenants quickly. A regional manager needs a number before a 6am start, copies a model, publishes a version that disagrees with the certified one, and nobody notices for a month — by which point two regions are managing to different definitions. We set workspace structure, naming standards, a certification path for the datasets leadership is allowed to cite, row-level security where the data genuinely needs it, and explicit publishing rights, working from Microsoft’s Power BI adoption roadmap (opens in new tab). The test is never how complete the document looks; it is whether a hurried supervisor follows it at the end of a long day.
The same discipline applies to the model underneath. Most of the reports we are asked to rescue are slow and untrusted for one reason: the wrong grain, chosen early, and papered over with DAX afterwards. We design against Microsoft’s star schema guidance (opens in new tab), and it is a fair thing to ask any consultant you are evaluating about — including us. Our data modeling and DAX work covers that craft in detail; Power BI dashboard development covers the build itself.
Two ways to buy, same engineer. A single dashboard can be quoted as a fixed-fee build: we scope it after the 30-minute call, quote an hour count and a price, and that is what you pay. For ongoing work, prepaid Flex blocks are usually cheaper per hour and far more flexible — you bank hours, send tasks as they come up, and each one is scoped and approved before it draws down. Hours never expire, there is no retainer, and no project minimum. Rates start at $100 per hour on the largest block.
| Flex block | Prepaid hours | Price (USD) | Effective rate | Typical fit |
|---|---|---|---|---|
| Starter | 20 hours | $2,500 | $125/hour | A first fixed-fee dashboard, a health check, or a targeted fix |
| Growth | 40 hours | $4,600 | $115/hour | An ongoing backlog across several reports |
| Power | 80 hours | $8,000 | $100/hour | A multi-report rollout at our lowest hourly rate |
If budget is the constraint that brought you here, affordable Power BI consulting is an honest place to compare that model against agencies and offshore shops. If what you need is capacity rather than advice, hire a Power BI developer by the hour describes engaging one named senior engineer against your own backlog. The full mechanics — scoping, hour logging, what happens when a block runs low — are on how it works and pricing. When you are ready, send us the task and we will scope it.
Flex hours
Starter $2,500, Growth $4,600, or Power $8,000 — from $100/hour at the largest block. Senior-led, US-based, and the hours never expire.
Who it’s for
Operators and 3PLs who need on-time performance, fill rate, and true landed cost per lane in one governed model instead of a WMS export reconciled by hand.
Field-service and equipment businesses costing jobs by crew, asset, and contract — with utilization and downtime next to margin rather than in a separate report.
Revenue-cycle, practice, and operations leaders tracking days in A/R, denials by payer, and staffing against demand, with access controlled by role.
Servicing, processing, and shared-service groups reporting volume, exception aging, and SLA attainment to internal leadership and to client audits.
Representative perspective
“Operations reported on-time delivery one way and finance costed the same lanes another way. Putting both on one model, with the definitions written down, ended a quarterly argument we had been having for years.”VP of operations, regional distributor
Representative perspective
“We wanted one dashboard, at a price agreed before anyone started, without a discovery phase we had to pay for. The scope came back in writing, and the refresh has run every morning since.”Controller, energy services company
Bring the report that keeps getting rebuilt by hand, the refresh that fails overnight, or the model nobody trusts. Thirty minutes on Central time is usually enough to tell you what it takes — and you get that answer whether or not you buy anything.
FAQ
No, and we would rather say so plainly than imply a local address we do not have. We are a US-based, remote-first practice. Power BI work happens inside your own tenant over a screen share, so a Dallas office would show up in your rate without improving a single report or refresh.
We keep live coverage across your Central-time working day for kickoffs, workshops, readouts, and screen-share debugging. Between those sessions the build happens asynchronously in your tenant, and every task ends in written notes. A stakeholder in Fort Worth and one in another time zone get the same handover.
Mostly four: logistics and distribution operators moving freight through the Metroplex, energy-services companies costing crews and equipment, healthcare administration teams working revenue cycle and staffing, and financial-services back-office groups reporting on volume, exceptions, and SLA attainment. Corporate finance and shared-services teams sit behind all four.
Yes. After a free 30-minute scoping call we send a written scope with a fixed hour count and price, and nothing starts until you approve it. A first dashboard usually fits inside the Starter block at $2,500. You are never billed for work you did not approve in advance.
Hours are prepaid in three Flex blocks: Starter 20 hours at $2,500, Growth 40 hours at $4,600, and Power 80 hours at $8,000, which is our lowest rate at $100 per hour. Hours never expire, there is no retainer, and each task is scoped and approved first.
You do, completely. Everything is built in your own Power BI tenant with documented measures, no proprietary layer, and no license tied back to us. If you stop working with us tomorrow, your team keeps every model, report, and document, and can maintain them without us.
