Fixed-fee dashboard builds
One scoped dashboard, one agreed price, delivered end to end — sources connected, model built, visuals designed, refresh scheduled, and the whole thing handed over documented.
Power BI consultant · San Antonio, TX
Contract funding burns on a schedule, revenue cycle moves every single day, and policy and claims books get picked apart every month — and the numbers describing all three usually sit in systems that were never designed to talk to each other. We are the senior, US-based team brought in to turn that into governed reporting people actually act on.
Delivery is remote with live Central-time coverage, priced either as a fixed-fee dashboard build or as prepaid hours that never expire. Start with a free 30-minute scoping call. See Flex pricing.
Representative dashboard — sample data
Remote-first, senior, no lock-in
The employment base here is unusually concentrated in work that gets checked by an outside party. Around Joint Base San Antonio sits a dense community of contractors and program teams whose reporting has to survive a contracting officer and an auditor. The medical center district and the bioscience and research organizations around it answer to payers, accreditors, and grant funders. The carriers, agencies, banks, and servicing operations staffed across the city answer to regulators, reinsurers, and their own boards. In each case somebody outside the company eventually asks how a number was produced.
That changes what a dashboard has to be. It is not enough for a figure to look right in a meeting; it has to be reproducible six months later, from a definition someone wrote down, over data that refreshed on a schedule nobody had to remember. The shape of the problem is almost always the same — an operational system knows what happened, an ERP or general ledger knows what it cost, a spreadsheet reconciles them once a week, and the pack everyone presents was assembled by whoever had time on Friday. Nobody was careless. The systems were bought at different times, for different reasons.
Where we start
Most start with one fixed-fee dashboard that settles a specific argument, a health check on an inherited Power BI estate nobody trusts, or a semantic model rebuild that gets the definitions agreed before another report gets drawn.
What’s included
Take one piece or the whole program. Every task is scoped in hours and approved before it starts — as a fixed-fee build or against a prepaid Flex block.
One scoped dashboard, one agreed price, delivered end to end — sources connected, model built, visuals designed, refresh scheduled, and the whole thing handed over documented.
A star-schema model with one definition per metric, so funding burn, days in A/R, and loss ratio mean the same thing in the board pack as they do in the weekly operations review.
Scheduled refresh that finishes before the first shift starts, gateway configuration documented, and failure alerts routed to a named person rather than discovered when a stale figure reaches a client.
Workspace structure, naming standards, dataset certification, and row-level security so a program manager, a clinic director, or a producer sees their own slice while leadership sees the whole.
A structured review of workspaces, models, refresh reliability, security, and licensing, delivered as risk-ranked findings with a remediation plan your team can work down over a quarter.
Recorded walkthroughs, documented measures, and named owners, so the people who run the report every week can change it without waiting on us or on anyone’s calendar.
How it works
A free 30-minute call on Central time. You describe the decision the report has to support, who will challenge the numbers, and which systems hold the data. We ask the questions that decide whether this is a two-day job or a two-week one. Nothing is billed for this.
You get a written scope with a fixed hour count and price before anything starts. Approve it and work begins; change your mind and you have spent nothing. Hours are drawn down only against work you approved in advance.
We build inside your tenant, review it with you on a screen share, then hand over the model, the report, the documentation, and a recorded walkthrough. Most focused tasks land in three to five business days.
They are operational before they are financial. A program team wants to know how fast funding is burning against ceiling and which contracts are carrying the labour, not just whether revenue grew. A hospital or clinic group wants denials by payer and days in A/R by cohort, because a two-day slip in one payer’s cycle is a cash problem before it is a reporting problem. A carrier or agency wants written premium, loss ratio, and retention by line and producer in one place, with each producer seeing only their own book. A servicing or processing group wants exception aging and service-level attainment by team, because that is exactly what the next client audit will ask about.
Four different industries, one shared shape: the operational system knows what happened, the ledger knows what it cost, and nobody has modeled the join. That is the work. The table below is the map we start from in a scoping call.
| Local sector | The question leadership keeps asking | Where the data usually lives | Typical first dashboard |
|---|---|---|---|
| Contract & program work near JBSA | Which contracts are actually profitable, and how fast is funding burning against ceiling? | Project accounting and job-cost systems, timekeeping, contract and funding records, subcontractor invoices | Contract profitability, funding burn against ceiling, and labour utilization by program |
| Healthcare & bioscience | Where is cash leaking in revenue cycle, and are we staffed to the demand we can see coming? | EHR extracts, practice management, claims clearinghouse, scheduling, lab and research systems | Days in A/R, denial rate by payer, and provider or department productivity |
| Insurance carriers & agencies | Which lines, books, and producers are performing once claims are accounted for? | Policy administration, claims, billing, and commission systems | Written premium, loss ratio, retention, and commission by line and producer |
| Banking & financial-services back office | Are volumes, exceptions, and service levels under control this week? | Core banking or servicing platform, workflow and ticketing tools, the general ledger | Processing volume, exception aging, and service-level attainment by team |
| Public power, water & civic operations | Where is capital actually going, and what is that doing to service and reliability? | Work and asset management, outage and service systems, customer and billing platforms, the capital ledger | Capital project spend against plan, work-order throughput, and service reliability by area |
If your sector is on that list, the industry pages go deeper into the metrics themselves — Power BI for healthcare, insurance commission and claims reporting, and finance and accounting reporting. This page is about how the work gets delivered to a team here.
A lot of reporting in this city touches something someone is careful about: patient data, policyholder records, customer financials, or work performed under a government contract. The honest position is that access rules are yours to set and ours to work inside. We normally take a guest account in your own Power BI tenant plus read access to the sources, build everything in your environment, and copy nothing out of it. Where the data genuinely needs to be partitioned, we implement row-level security in Power BI (opens in new tab) rather than relying on separate copies of a report drifting apart.
Equally honest: we are not a cleared facility, we do not handle classified material, and we hold no compliance accreditation. If your security team has requirements beyond least-privilege access inside your own tenant, tell us at the scoping call and we will scope around what they allow — or tell you plainly that we are not the right fit. The terms below are what we commit to on every engagement.
| Term | What we commit to |
|---|---|
| Coverage | Live availability across your Central-time working day for calls, workshops, readouts, and screen-share debugging |
| Kickoff | A free 30-minute scoping call before any commitment, with no sales handoff — you talk to the engineer who does the work |
| Access | Least-privilege: a guest account in your own tenant plus read access to the sources, revoked whenever you choose |
| Data handling | Everything is built and stays inside your environment; we do not export or retain copies of your data |
| Approval | A written scope with a fixed hour count and price before work starts; nothing is billed that you did not approve |
| Turnaround | Typically 3–5 business days for a focused task; larger builds get a dated plan up front |
| Documentation | Written notes on every task, documented measures, and a recorded walkthrough at handover |
| Ownership | Files, semantic model, DAX, and workspace stay yours — no proprietary layer, no license tied to us |
There is no local office behind this, and we would rather say so than imply one. For Power BI work almost everything happens inside your tenant over a screen share; a downtown address would show up in your rate and nowhere else. What replaces proximity is written work — which is also what lets a report survive the person who commissioned it moving on.
Organizations that report to an external authority break ungoverned tenants in a particular way. Someone needs a figure for a submission on a deadline, copies a model, publishes a version that disagrees with the certified one, and two teams spend the next quarter managing to different definitions. We set workspace structure, naming standards, a certification path for the datasets leadership is allowed to cite, and explicit publishing rights, working from Microsoft’s Power BI adoption roadmap (opens in new tab). The test is never how complete the document looks; it is whether a hurried analyst follows it the night before a deadline.
The same discipline applies to the model underneath. Most reports we are asked to rescue are slow and untrusted for one reason: the wrong grain, chosen early, then papered over with DAX. We design against Microsoft’s star schema guidance (opens in new tab), and it is a fair thing to ask any consultant you are evaluating about — us included. Our data modeling and DAX work covers that craft in detail; Power BI dashboard development covers the build itself, and a Power BI health check is the right first step when you have inherited an estate rather than started one.
Two ways to buy, same engineer. A single dashboard can be quoted as a fixed-fee build: we scope it after the 30-minute call, quote an hour count and a price, and that is what you pay. For ongoing work, prepaid Flex blocks are cheaper per hour and far more flexible — you bank hours, send tasks as they come up, and each one is scoped and approved before it draws down. Hours never expire, there is no retainer, and no project minimum. Rates start at $100 per hour on the largest block.
| Flex block | Prepaid hours | Price (USD) | Effective rate | Typical fit |
|---|---|---|---|---|
| Starter | 20 hours | $2,500 | $125/hour | A first fixed-fee dashboard, a health check, or a targeted fix |
| Growth | 40 hours | $4,600 | $115/hour | An ongoing backlog across several reports |
| Power | 80 hours | $8,000 | $100/hour | A multi-report rollout at our lowest hourly rate |
If what you need is capacity rather than advice, hire a Power BI developer by the hour describes engaging one named senior engineer against your own backlog. The full mechanics — scoping, hour logging, what happens when a block runs low — are on how it works and pricing. When you are ready, send us the task and we will scope it.
Flex hours
Starter $2,500, Growth $4,600, or Power $8,000 — from $100/hour at the largest block. Senior-led, US-based, and the hours never expire.
Who it’s for
Contractors and program teams working around Joint Base San Antonio who need contract profitability, funding burn, and labour utilization reconciled to the ledger rather than assembled per submission.
Revenue-cycle, clinical operations, and research administration leaders tracking days in A/R, denials by payer, throughput, and staffing against demand, with access controlled by role.
Underwriting, claims, and distribution leaders who need written premium, loss ratio, retention, and producer performance in one governed model instead of four monthly extracts.
Servicing, processing, and shared-service groups reporting volume, exception aging, and service-level attainment to internal leadership and to client and regulatory audits.
Representative perspective
“Program managers tracked burn one way and accounting closed it another. Putting both on one model, with the definitions written down, meant the monthly review stopped being an argument about whose spreadsheet was right.”Controller, government contracting firm
Representative perspective
“We wanted one dashboard, at a price agreed before anyone started, and access our security team could actually approve. The scope came back in writing and the refresh has run every morning since.”Revenue cycle director, multi-site clinic group
Bring the report that keeps getting rebuilt by hand, the refresh that fails overnight, or the model nobody trusts. Thirty minutes on Central time is usually enough to tell you what it takes — and you get that answer whether or not you buy anything.
FAQ
No, and we would rather say that plainly than imply a local address we do not have. We are a US-based, remote-first practice. Power BI work happens inside your own tenant over a screen share, so a San Antonio office would show up in your rate without improving a single report or refresh.
We keep live coverage across your Central-time working day for kickoffs, workshops, readouts, and screen-share debugging. Between those sessions the build continues asynchronously in your tenant, and every task ends in written notes. A stakeholder downtown and one at a remote site get exactly the same handover.
Mostly four: contractors and program teams working around Joint Base San Antonio, healthcare and bioscience organizations in and around the medical center district, insurance carriers and agencies reporting on books and claims, and banking and financial-services back-office groups tracking volume, exceptions, and service levels.
Yes. After a free 30-minute scoping call we send a written scope with a fixed hour count and a price, and nothing starts until you approve it. A first dashboard usually fits inside the Starter block at $2,500. You are never billed for work you did not approve in advance.
We work inside your tenant under your own access rules, with least-privilege accounts and no data copied out. We are not a cleared facility and hold no compliance accreditation, so tell us early what your security team allows and we will scope the work around it rather than around a claim.
Hours are prepaid in three Flex blocks: Starter 20 hours at $2,500, Growth 40 hours at $4,600, and Power 80 hours at $8,000, which is our lowest rate at $100 per hour. Hours never expire, there is no retainer, and each task is scoped and approved first.
You do, completely. Everything is built in your own Power BI tenant with documented measures, no proprietary layer, and no license tied back to us. If you stop working with us tomorrow, your team keeps every model, report, and document, and can maintain them without us.
