The gap between busy and profitable

A full dispatch board is not the same as a profitable month

Most owners can tell you how many jobs ran yesterday and cannot tell you which of them made money. That is exactly the gap done-for-you Power BI for HVAC and field service companies closes: your platform knows every work order, every technician hour, and every invoice, but the answers — profit per job, billable efficiency per tech, first-time-fix rate, callback rate, average ticket, membership revenue — are scattered across canned reports and exports.

We build one model over your field service software and QuickBooks that joins revenue to labor, materials, and marketing cost, so an HVAC, plumbing, or electrical service business sees where the margin actually comes from. Companies get a dashboard that is current every morning, without anyone pasting spreadsheets.

What we build for field service operations

  • Job & work-order profitability
  • Technician utilization
  • First-time-fix rate
  • Average ticket
  • Membership & agreement revenue
  • Callback rate
  • Marketing cost per booked call

Try us risk-free for 4 hours

Buy a block of prepaid Flex hours and, if you're unhappy within the first 4 hours, we refund you in full — no questions asked. Hours are deducted only for work you've reviewed and approved, there's no project minimum, and your banked hours never expire.

Why shops call us

Reporting that answers owner questions

You send the request; a senior engineer models your jobs, hours, and dollars around how a service business actually runs.

Profit per job, not just revenue

Every work order carries labor, materials, and equipment cost against what was invoiced, so you see margin by job type, technician, and business unit — and which install crews are quietly underwater.

Technician utilization & efficiency

Billable hours against paid hours per tech, sold-hour efficiency on flat-rate work, and average ticket by technician — the numbers behind coaching conversations and performance pay.

First-time fix & callbacks

First-time-fix rate and callback rate tracked by technician, job type, and equipment, so quality problems show up as a trend you can act on instead of an angry phone call.

Membership & agreement revenue

Service-agreement counts, renewal rates, and the recurring revenue they generate — plus how members compare to one-time customers on ticket size and callbacks.

Dispatch & marketing metrics

Booked-call conversion, jobs per truck per day, and marketing cost per booked call by source — so the dispatch board and the ad budget are judged on the same numbers as the P&L.

What makes a service job profitable?

Four things decide it: what the call was sold for, the hours it actually took, what the materials and equipment cost, and whether a truck had to roll twice. A profitability model has to carry all four — invoiced revenue, technician time at loaded cost, purchase costs, and callback linkage — or it will flatter big-ticket installs that quietly ran over on labor.

Owners are often surprised by what emerges. Demand service at a strong average ticket can out-earn installs once install labor overruns are counted, and a membership base that discounts every visit can still be the most profitable segment because of what it feeds the replacement pipeline. Those conclusions only appear when jobs, hours, and dollars sit in one model with consistent definitions — see Power BI dashboard development for how we build it.

Field service software reports vs the Power BI version

Here is where the canned reporting in a field service platform stops and where the dashboard we build picks up — the same jobs and invoices, made historical, comparable, and joined to cost.

Field service platform reports vs the Power BI dashboard we build
Question the owner asks Where the answer hides today Power BI dashboard version
Which jobs made money? Revenue in the platform, cost in QuickBooks and supplier invoices Margin per job and work order after labor, materials, and equipment
Who are my best techs? Timesheets, sold hours, and gut feel Utilization, billable efficiency, average ticket, and callback rate per tech
Are callbacks getting worse? Return visits logged as new jobs Callback and first-time-fix rate trended by tech, job type, and equipment
Is the membership program working? An agreement count, without renewal or revenue context Agreement revenue, renewal rate, and member vs non-member behavior
Which marketing actually books calls? Ad platform dashboards that stop at the click Cost per booked call and revenue per source, end to end
How busy will next week be? Today's dispatch board Booked-call conversion, jobs per truck per day, and capacity trend

Where does the data come from?

Jobs, work orders, technician hours, invoices, memberships, and call sources come from your field service software — ServiceTitan, Housecall Pro, Jobber, FieldEdge, and similar platforms — via their API or scheduled exports. Smaller crews running Jobber can start from our Jobber Power BI dashboard page, which covers that platform's GraphQL API and its request-to-quote-to-job-to-visit data shape in detail. Job costing and the ledger side usually come from QuickBooks, and anything else, like commission plans or budgets, can come from spreadsheets.

To be direct about it: these platforms differ a lot in what they expose, and some plans gate API access. We confirm the exact connection method for your system in the scope estimate before any hours are used, so there are no surprises mid-build. Once connected, we configure scheduled refresh in the Power BI service — Microsoft's documentation on data refresh in Power BI (opens in new tab) describes the mechanism — so the numbers are current each morning without anyone exporting a thing.

What does it cost, and how fast?

You buy prepaid Flex hours that never expire: Starter 20h at $125/hr ($2,500), Growth 40h at $115/hr ($4,600), or Power 80h at $100/hr ($8,000). A first job-profitability and technician-scorecard build typically fits inside one block, and most builds ship in 3–5 business days once you approve the scope estimate.

Traditional Power BI firms charge $175–250/hr, set project minimums, want $10K+ to start, let unused hours expire, and don't begin for 4–6 weeks. Flex Support is $100–125/hr, no minimums, banked hours that never expire, and a start this week. Hours deduct only for approved work. See how prepaid Flex hours work, or our affordable Power BI consulting page for the full comparison. Contractors running project work in Procore can start from the Procore Power BI dashboard build. Contractors running ServiceTitan can start from our custom ServiceTitan Power BI dashboard page.

Who is this for?

Owners, general managers, and operations leaders at HVAC, plumbing, electrical, and other trades businesses without an in-house analyst. If your work is project-based construction rather than service calls, see Power BI for construction; if you already have a report that's broken, slow, or untrusted, our Power BI troubleshooting service repairs it from the same hours.

The ideal fit is a shop of roughly five to fifty trucks — big enough that job costing and tech scorecards are a real monthly chore, small enough that a dedicated data hire is hard to justify. It also suits multi-location operators who want every branch measured the same way. Contact is form-only — send your request and we'll reply with a scope estimate.

How it works

From work orders to owner-ready numbers

  1. 1

    Send your request

Tell us your field service platform, how you cost jobs, and which KPIs matter most. We reply with a scope and hours estimate — including the confirmed connection method — before any work begins. Hours deduct only for builds you approve.

  2. 2

    We model & build

A senior US-based engineer joins jobs, hours, and dollars into one model, writes the measures for margin, utilization, first-time fix, and callbacks, and reconciles totals to your system — typically 3–5 business days.

  3. 3

    Publish & maintain

We publish to your workspace, set scheduled refresh so figures are current each morning, and hand over the model and credentials. You own everything; we keep it healthy from your banked hours.

Representative perspective

We ran forty calls a day and honestly could not say which job types made money. Seeing margin per job with labor and materials attached changed how we price installs and what we send each crew to.

Representative perspective

Tech scorecards used to be a monthly spreadsheet fight. Now utilization, average ticket, and callbacks per tech are just there every morning, and the coaching conversations start from the same numbers.

FAQ

Questions from owners and operators

ServiceTitan, Housecall Pro, Jobber, FieldEdge, and most other field service platforms, via their API or scheduled exports, alongside QuickBooks and spreadsheets. Platforms differ in what they expose, so we confirm the exact connection method for your system in the scope estimate before any hours are used.

Yes. We join revenue from your field service software with labor, materials, and equipment cost so each job and work order carries a margin, then roll it up by technician, job type, business unit, and marketing source. That is usually the first build owners ask for.

Yes. We configure scheduled refresh in the Power BI service so the numbers are current each morning without anyone exporting or pasting anything. Refresh frequency depends on how your platform delivers data, which we confirm during scoping.

No. We are an independent, Microsoft-certified consultancy. We are not affiliated with or endorsed by ServiceTitan, Housecall Pro, Jobber, FieldEdge, or Microsoft; we simply build Power BI reporting on the data those products hold for you.

Yes. Many clients arrive with a report someone built that no longer refreshes, runs slowly, or shows numbers nobody trusts. We diagnose it, quote the repair in hours before starting, and fix it from the same prepaid Flex hours — see our troubleshooting service for how that works.
