The gap between managed and measured

A full rent roll is not the same as a healthy operation

Most property management leaders can pull a rent roll and cannot easily answer which properties are slipping: where occupancy is trending down, where delinquency is building, where maintenance is eating the margin. That is the gap a Power BI property management dashboard closes — your software knows every unit, lease, payment, and work order, but the answers live in one-property-at-a-time reports.

We build one model over AppFolio, Yardi, Buildium, or similar systems so occupancy, rent collected versus billed, delinquency aging, work-order performance, and NOI sit side by side for every property you manage, current each morning without anyone exporting a thing.

What we build for property managers

  • Occupancy & vacancy by property
  • Rent roll & billed vs collected
  • Delinquency aging
  • Maintenance & work-order KPIs
  • Unit turnover & make-ready time
  • Lease expirations & renewals
  • NOI per property

Why management companies call us

Reporting that answers owner and executive questions

You send the request; a senior engineer models units, leases, payments, and work orders around how a management company actually runs.

Every property on one page

Occupancy, delinquency, maintenance load, and NOI by property, on the same definitions — so the weekly review starts from one report instead of a stack of per-property PDFs.

Delinquency you can act on

Billed versus collected and delinquency aging by property and tenant, trended over time, so collections effort goes where the balance is actually building.

Maintenance performance, measured

Work-order volume, days to complete, and cost by property and category — the difference between a busy maintenance team and an expensive one, visible.

Turnover and make-ready time

Days from move-out to rent-ready to leased, per property, so slow turns stop hiding inside the vacancy number.

Owner-ready reporting

Per-property views your owner statements can stand behind, built from the same model — consistent definitions whether one owner holds two units or twenty.

What separates a healthy property from a slipping one?

Trend, mostly. A single month's occupancy or delinquency number says little; the same numbers trended by property for eighteen months say a lot. A useful model carries leases, billed and collected rent, work orders, and turnover events with enough history that "slipping" shows up as a slope, not a surprise at renewal season.

Management companies are often surprised by what emerges: the property with the loudest owner is rarely the one quietly losing NOI to maintenance, and make-ready time frequently explains more vacancy than market conditions do. Those conclusions only appear when every property sits in one model on the same definitions — see Power BI dashboard development for how we build it.

Property software reports vs the Power BI version

Here is where the canned reporting in property management software stops and where the dashboard we build picks up — the same units and ledgers, made historical, comparable across properties, and joined to cost.

Property management software reports vs the Power BI dashboard we build
Question the executive asks Where the answer hides today Power BI dashboard version
Which properties are slipping? One report per property, read one at a time Occupancy, delinquency, and NOI trended side by side
Where is delinquency building? A point-in-time aging report Delinquency aging trended by property and tenant
Is maintenance under control? A work-order queue Volume, days to complete, and cost by property and category
How long do turns really take? Move-out and lease dates in separate screens Move-out to rent-ready to leased, measured per property
What renewals are coming? A lease expiration list Expirations by month with renewal outcomes trended
What is NOI per property? Month-end statements Income and expense rolled to NOI, refreshed automatically

Where does the data come from?

Units, leases, tenants, ledgers, and work orders come from your property management software — AppFolio, Yardi, Buildium, and similar systems — via their API or scheduled exports. Corporate-side accounting often comes from QuickBooks, and anything else, like budgets or owner targets, can come from spreadsheets. If your portfolio runs on Voyager specifically, we cover the routes and reports in detail on our Yardi Voyager Power BI dashboard page; for commercial portfolios on MRI, where leases, recovery pools and multi-entity ledgers drive the reporting, see our MRI Software Power BI dashboard build. On AppFolio the access question comes first — API entitlement varies by plan tier and there is no database to connect to — so our AppFolio Power BI dashboard page walks through each route and what it means for refresh. Smaller residential portfolios and HOA managers on Buildium need the extract landed in a warehouse before Power BI reads it, and the collection, delinquency ageing and assessment metrics that follow are set out on our Buildium Power BI dashboard page. Multifamily operators on RealPage have a licensing question before a technical one — which of OneSite, AIM, RealPage BI and Data Exchange you hold decides the route — and the unit-level economics that follow are covered on our RealPage Power BI dashboard page. Operators on Entrata start from a different question again — whether Data Share, the documented v1 API or scheduled exports is the route your agreement actually opens — which our Entrata Power BI dashboard page settles before any modelling.

To be direct about it: these platforms differ a lot in what they expose, and some plans gate API or report access. We confirm the exact connection method for your system in the scope estimate before any hours are used. Once connected, we configure scheduled data refresh in Power BI (opens in new tab) so the numbers are current each morning.

What does it cost, and how fast?

You buy prepaid Flex hours that never expire: Starter 20h at $125/hr ($2,500), Growth 40h at $115/hr ($4,600), or Power 80h at $100/hr ($8,000). A first occupancy, delinquency, and NOI build typically fits inside one block. Most builds ship in 3–5 business days once you approve the scope estimate.

Traditional Power BI firms charge $175–250/hr, set project minimums, want $10K+ to start, let unused hours expire, and don't begin for 4–6 weeks. Flex Support is $100–125/hr, no minimums, banked hours that never expire, and a start this week. Hours deduct only for approved work. See how prepaid Flex hours work for the full comparison.

Who is this for?

Owners, executives, and operations leads at third-party property management companies without an in-house analyst. If you are an investor or asset manager reporting on your own portfolio's returns, our Power BI for real estate page covers that side; if you already have a report that's broken or untrusted, our Power BI troubleshooting service repairs it from the same hours. Operators running senior living communities need a different model again — census by care level, move-ins, agency labor and NOI per community rather than leases and work orders — which is covered on Power BI for senior living. If you operate hotels or lodging properties, our Power BI consultant for hotels covers RevPAR, ADR and occupancy metrics instead of leases.

The ideal fit is a company managing roughly a few hundred to several thousand units — big enough that cross-property comparisons and owner reporting are a real monthly chore, small enough that a dedicated data hire is hard to justify. Contact is form-only — send your request and we'll reply with a scope estimate.

How it works

From per-property reports to one operations view

  1. 1

    Send your request

Tell us your property management software, how many properties and units you manage, and which KPIs matter most. We reply with a scope and hours estimate — including the confirmed connection method — before any work begins. Hours deduct only for builds you approve.

  2. 2

    We model & build

A senior US-based engineer joins units, leases, payments, and work orders into one model, writes the measures for occupancy, delinquency, turnover, and NOI, and reconciles totals to your system — typically 3–5 business days.

  3. 3

    Publish & maintain

We publish to your workspace, set scheduled refresh so figures are current each morning, and hand over the model and credentials. You own everything; we keep it healthy from your banked hours.

Representative perspective

We managed ninety properties and reviewed them as ninety PDFs. Seeing occupancy, delinquency, and maintenance cost trended side by side changed which properties actually got our attention.

Representative perspective

Make-ready time was invisible — it just lived inside vacancy. Once turns were measured per property, we found weeks of avoidable downtime and a vendor who was the bottleneck.

FAQ

Questions from management companies

AppFolio, Yardi, Buildium, and most other property management platforms, via their API or scheduled exports, alongside QuickBooks and spreadsheets. Platforms differ in what they expose, so we confirm the exact connection method for your system in the scope estimate before any hours are used.

Yes. We model units, leases, ledgers, and work orders so occupancy, billed versus collected rent, delinquency aging, maintenance cost, and NOI trend per property on the same definitions. That is usually the first build management companies ask for.

Yes. The same model can drive per-property or per-owner views with consistent definitions, so what an owner sees reconciles with what your team manages from. We scope owner-facing pages as part of the build if you want them.

Yes. We configure scheduled refresh in the Power BI service so the numbers are current each morning without anyone exporting or pasting anything. Refresh frequency depends on how your platform delivers data, which we confirm during scoping.

No. We are an independent, Microsoft-certified consultancy. We are not affiliated with or endorsed by AppFolio, Yardi, Buildium, or Microsoft; we simply build Power BI reporting on the data those products hold for you.
