The gap between ringing sales and keeping them

A busy Friday night is not the same as a profitable week

Most operators can tell you yesterday's sales per location and cannot tell you this week's prime cost until the books close. That is the gap a Power BI restaurant sales dashboard closes: your POS knows every check, your scheduling system knows every labor hour, and your accounting knows every invoice — but labor cost %, food cost, and prime cost per store live in month-end spreadsheets.

We build one model over your POS — Toast, Square, and similar systems — plus payroll and the ledger, so a restaurant group sees sales, labor, and cost of goods by location, daypart, and week, current every morning without anyone exporting a thing.

What we build for restaurant operators

  • Sales by location & daypart
  • Same-store sales trend
  • Labor cost %
  • Food cost & prime cost
  • Average check & covers
  • Comps, voids & discounts
  • Menu-item mix

Try us risk-free for 4 hours

Buy a block of prepaid Flex hours and, if you're unhappy within the first 4 hours, we refund you in full — no questions asked. Hours are deducted only for work you've reviewed and approved, there's no project minimum, and your banked hours never expire.

Why operators call us

Reporting that answers the weekly operations meeting

You send the request; a senior engineer models checks, labor hours, and invoices around how a restaurant group actually runs.

Every location on one page

Sales, labor %, and prime cost by store, compared on the same definitions — so the weekly ops meeting starts from one report instead of a stack of POS exports.

Labor cost tracked against sales

Labor hours and wages joined to sales by daypart, so overstaffed Tuesday lunches and understaffed Friday dinners show up as a pattern, not a hunch.

Prime cost without the month-end wait

Food and beverage purchases joined to sales, alongside labor, so prime cost trends weekly per location instead of arriving with the P&L.

Menu mix and average check

Item-level sales from the POS — what sells, what gets comped, and how average check moves by daypart and server — feeding menu and pricing decisions.

Comps, voids, and discounts watched

Discount and void activity trended by store and reason code, so leakage shows up as a chart you review weekly instead of a surprise at month end.

What decides whether a restaurant week was good?

Prime cost decides it: cost of goods plus labor, measured against the sales they produced. A useful model has to carry all three from their separate systems — item-level sales from the POS, hours and wages from scheduling or payroll, purchases from the ledger — and line them up by store and week, or it will flatter a location that rang big numbers while giving margin away in labor and waste.

Multi-location operators are often surprised by what emerges: the store with the highest sales is frequently not the one with the best prime cost, and daypart-level labor data usually finds hours to save without touching service. Those conclusions only appear when checks, hours, and invoices sit in one model — see Power BI dashboard development for how we build it.

POS reports vs the Power BI version

Here is where the canned reporting in a POS stops and where the dashboard we build picks up — the same checks and hours, made historical, comparable across locations, and joined to cost.

POS system reports vs the Power BI dashboard we build
Question the operator asks Where the answer hides today Power BI dashboard version
How did each store really do this week? A POS report per location, read one at a time Sales, labor %, and prime cost by store on one page
Is labor under control? Payroll after the period closes Labor cost % by store and daypart, trended weekly
What is our prime cost right now? A month-end spreadsheet Weekly prime cost per location from POS plus the ledger
Which menu items carry us? Item sales buried in POS exports Menu mix with sales, comps, and trend by location
Are comps and voids creeping up? Reason codes nobody reviews Discount and void trend by store and reason
How does this year compare to last? POS history that is a chore to pull Same-store sales trend with retained history

Where does the data come from?

Checks, items, covers, comps, and voids come from your POS — Toast, Square, and similar systems — via their API or scheduled exports; where the POS is Toast, the extraction routes, business-date handling and multi-location modelling are covered in detail on our Toast POS Power BI dashboard page, and where it is Square, the Orders-versus-Payments-versus-Reporting API split, the gross-to-net sales unstacking and the cash-tips caveat are covered on our Square Power BI dashboard page. Labor hours come from your scheduling or payroll system — where that is ADP, the extraction routes and the overtime and labor-cost measures are covered on our ADP Power BI dashboard page — and purchases and the ledger side usually come from QuickBooks. Anything else, like budgets or franchise targets, can come from spreadsheets.

To be direct about it: POS platforms differ a lot in what they expose, and some plans gate API access. We confirm the exact connection method for your systems in the scope estimate before any hours are used. Once connected, we configure scheduled data refresh in Power BI (opens in new tab) so the numbers are current each morning.

What does it cost, and how fast?

You buy prepaid Flex hours that never expire: Starter 20h at $125/hr ($2,500), Growth 40h at $115/hr ($4,600), or Power 80h at $100/hr ($8,000). A first multi-location sales and prime-cost build typically fits inside one block. Most builds ship in 3–5 business days once you approve the scope estimate.

Traditional Power BI firms charge $175–250/hr, set project minimums, want $10K+ to start, let unused hours expire, and don't begin for 4–6 weeks. Flex Support is $100–125/hr, no minimums, banked hours that never expire, and a start this week. Hours deduct only for approved work. See how prepaid Flex hours work for the full comparison.

Who is this for?

Owners, operators, and finance leads at restaurants, restaurant groups, and franchise operators without an in-house analyst. If your questions are more about retail inventory and e-commerce than covers and dayparts, see Power BI for retail; if you already have a report that's broken or untrusted, our Power BI troubleshooting service repairs it from the same hours. If you operate hotels or lodging properties instead, our Power BI consultant for hotels covers RevPAR, ADR and occupancy metrics.

The ideal fit is a group of roughly two to thirty locations — big enough that weekly store comparisons and prime-cost tracking are a real chore, small enough that a dedicated data hire is hard to justify. If the units are independently owned rather than all yours — so royalty accrual, same-store sales across separate owners, and per-owner data separation are the real problem — our Power BI dashboards for franchise owners cover that structure instead. Contact is form-only — send your request and we'll reply with a scope estimate.

How it works

From POS exports to operator-ready numbers

  1. 1

    Send your request

Tell us your POS, scheduling, and accounting systems, and which KPIs matter most. We reply with a scope and hours estimate — including the confirmed connection method — before any work begins. Hours deduct only for builds you approve.

  2. 2

    We model & build

A senior US-based engineer joins checks, hours, and invoices into one model, writes the measures for labor %, food cost, and prime cost, and reconciles totals to your POS — typically 3–5 business days.

  3. 3

    Publish & maintain

We publish to your workspace, set scheduled refresh so figures are current each morning, and hand over the model and credentials. You own everything; we keep it healthy from your banked hours.

Representative perspective

We ran four stores and the Monday meeting was four POS printouts and an argument. Seeing sales, labor, and prime cost per store on the same definitions changed what we actually talk about.

Yes. We join item-level sales from the POS with labor hours and wages and with food and beverage purchases from your books, so labor %, food cost, and prime cost trend weekly per location. That is usually the first build operators ask for.

Yes — that is the core of the build. Every store is measured on the same definitions, so same-store sales, labor %, and prime cost are comparable side by side, with drill-down to daypart, menu item, and reason codes per location.

Yes. We configure scheduled refresh in the Power BI service so the numbers are current each morning without anyone exporting or pasting anything. Refresh frequency depends on how your POS delivers data, which we confirm during scoping.

No. We are an independent, Microsoft-certified consultancy. We are not affiliated with or endorsed by Toast, Square, or Microsoft; we simply build Power BI reporting on the data those products hold for you.
