Veterinary practice reporting

Power BI Dashboards for Veterinary Clinics, Built on Your Own Practice Data

Average client transaction, visits and revenue per DVM, doctor production, lapsing-patient retention and in-house pharmacy margin in one view — modelled on what your practice information management system already holds, not on a template full of sample data. A senior US-based engineer builds it and keeps it refreshing, usually in 3–5 business days.

  • Senior-led (20+ yrs)
  • Hours never expire
  • 3–5 day turnaround
  • No project minimums
  • Full refund — first 4 hrs

Representative dashboard — sample data

The reporting gap in small-animal practice

Your PIMS records every visit. It does not tell you which ones are worth more

Practice information management systems — PIMS, the software that runs the front desk, the exam room and the invoice — hold every appointment, every line item and every reminder your hospital has ever issued. What they are weak at is the second question: whether average client transaction is drifting, which doctor's production is carrying the schedule, how many patients quietly lapsed last quarter, and how much margin the in-house pharmacy is losing to outside scripts.

When a practice owner goes looking for that view, the choices are a YouTube walkthrough, a downloadable template stocked with invented sample data, whatever canned reporting the PIMS vendor ships, or a packaged analytics subscription. None of them is your data modelled on your definitions. That is what we build: one Power BI model over your own practice system, refreshed overnight, owned outright by the hospital.

What we build for veterinary hospitals

  • Visits & revenue per DVM
  • Doctor production & comp
  • New clients & lapsing patients
  • Compliance gaps
  • Pharmacy margin & leakage
  • Wellness plan enrolment
  • Multi-hospital rollups

Why practices call us

Numbers the Monday morning meeting can actually use

You describe the hospital and the questions; a senior engineer models invoices, visits, patients and doctors around how a veterinary practice actually earns.

ACT, broken down properly

Average client transaction trended by doctor, service category and visit type — so a soft month separates into fewer visits, a thinner basket, or a shift in the case mix.

Production per DVM, agreed once

Visits, revenue and production per doctor of veterinary medicine on the definition your associate contracts actually use — the same figure for the schedule and for production-based compensation.

Lapsing patients, before they lapse

Active, at-risk and lapsed patients by last-visit window, alongside new-client acquisition — so retention is a working list each week rather than a number discovered at year end.

Compliance gaps you can work

Patients due or overdue for dentals, bloodwork and preventatives, by doctor and by species — the recommendation-to-completion gap that most canned PIMS reporting leaves implicit.

Pharmacy margin and leakage

In-house pharmacy and inventory margin next to the scripts going out the door — plus boarding, grooming and wellness plan revenue, so the whole revenue mix sits in one place.

One view across every hospital

Each location measured on identical definitions and rolled up for the group, with drill-down to the doctor when a number needs explaining.

What should a veterinary practice dashboard track?

Revenue per visit and the behaviour behind it. Gross revenue tells you how busy last month was; average client transaction, visits per doctor, compliance on recommended care and the patient-retention curve tell you whether next month will be better. A model worth building carries all of them at the doctor, hospital and species grain, with enough history to show trend rather than a single snapshot.

The surprises usually arrive from the retention side. A hospital can hold revenue flat while quietly losing active patients, because a rising ACT masks a falling visit count — and no canned report puts those two lines on the same axis. The same is true of the pharmacy: in-house margin looks healthy right up until you count what left as an outside script. Both conclusions need one model, which is what Power BI dashboard development delivers.

Which PIMS do you connect to, and how?

Veterinary software splits cleanly in two, and the split decides the plumbing. Server-based systems run on a machine at the practice; cloud-native platforms hold the data at the vendor. Neither is harder to report on than the other, but they need different routes, so we confirm yours before quoting hours.

Veterinary practice management systems and the usual route into Power BI
Practice system Where the data sits Typical route into Power BI
AVImark Server at the practice Database-level connection or scheduled export, via the on-premises gateway
Cornerstone (IDEXX) Server at the practice Reporting database or scheduled export, via the on-premises gateway
ezyVet Cloud, at the vendor Vendor API or an authorized data export
IDEXX Neo Cloud, at the vendor Vendor API or an authorized data export
Digitail Cloud, with a data warehouse Structured data exposed through an Amazon Redshift warehouse
QuickBooks or Xero Cloud accounting Direct connector, joined in for payroll and true margin

For a practice server, the on-premises data gateway (opens in new tab) is what lets a cloud dashboard read a machine sitting in your back office without exposing it to the internet. For a cloud PIMS, we pull from the vendor's API on a schedule. Either way the result is the same: a semantic model with the measures written in DAX, organised as a star schema (opens in new tab), on scheduled refresh (opens in new tab). Joining QuickBooks data into the same model is what turns revenue reporting into margin reporting.

Which metrics we model, and at what grain

Definitions matter more than charts here. Two hospitals in the same group will define doctor production three different ways unless someone writes it down once. We agree each measure with you, implement it in one place, and every visual downstream inherits it.

Veterinary KPIs, the question each one answers, and the grain we model it at
Metric Question it answers Grain
Average client transaction Is each visit worth more or less than it was? Invoice, doctor, service category, hospital
Visits and revenue per DVM Who is carrying the schedule, and on what case mix? Doctor, week, hospital
Doctor production What does production-based compensation actually pay out? Doctor, pay period
New clients and lapsing patients Are we replacing the patients we lose? Client, patient, last-visit window
Compliance on recommended care How much recommended dentistry or bloodwork is never completed? Patient, species, doctor
Pharmacy and inventory margin What is in-house dispensing earning, and what is leaking out? Item, category, hospital
Revenue mix How much comes from boarding, grooming and wellness plans? Service line, month, hospital

Why isn't HIPAA the constraint here?

Because HIPAA governs human protected health information, and animal patient records are not that. This is one of the real differences between veterinary reporting and the human-health work we do — on Power BI for healthcare, the design starts from minimum-necessary access and a business associate agreement. In a veterinary hospital the obligations that bite are your state practice act, client-confidentiality rules, and ordinary care with client contact and card data. We build inside your own Microsoft tenant under your access controls and can restrict what each viewer sees with row-level security (opens in new tab), but we do not sell this as a compliance product; your counsel stays the authority on your obligations.

The second structural difference is who pays. Veterinary is a cash-pay business with pet insurance reimbursing the client afterwards, so there is no payer-claims layer, no clearinghouse and no 835 remittance file. Nothing on this page is denial reporting — that world belongs to the denial management dashboard built for human revenue-cycle teams. Here, revenue is collected at the counter, which makes ACT and visit count the two numbers that carry the practice.

How is this different from a packaged veterinary analytics product?

Honestly: a packaged product is the right answer for some hospitals. Subscriptions such as VetSuccess connect to Cornerstone, IDEXX Neo, AVImark and ezyVet and ship dashboards that need no custom configuration, which is genuinely fast and genuinely useful if its metric definitions match how you run.

What it cannot do is use your definitions, join your accounting and payroll data, carry a wellness plan structure you invented, or leave you owning the model. That is the trade: configuration-free and fixed, versus built-to-fit and yours. We build the second kind — and if a packaged tool already answers your questions, we will tell you so rather than sell against it.

What does it cost, and how fast?

You buy prepaid Flex hours that never expire. Starter is 20 hours ($2,500), Growth 40 hours ($4,600), and Power 80 hours ($8,000), with senior hourly work from $100. A first build covering ACT, visits and production per DVM, retention and the compliance list typically fits inside one block, and most builds ship in 3–5 business days once you approve the scope estimate.

Compared with a traditional consultancy, the differences that matter to a single hospital are the absence of a project minimum, the fact that unused hours stay banked instead of expiring, and a start this week rather than a queue. Hours deduct only for work you approve. See how prepaid Flex hours work for the full comparison, or how we work with small businesses if this is your first analytics spend.

Who is this for?

Practice owners, hospital administrators and medical directors at single-site small-animal hospitals, and operators running two to thirty locations — large enough that doctor scorecards and cross-hospital comparison are a monthly chore, small enough that hiring an analyst is hard to justify. Emergency, specialty and mixed-practice hospitals fit the same model with a different service-line split.

If you run a corporate group or a franchised brand and the pressing need is a consolidated roll-up across many units, the pattern is covered on Power BI dashboards for franchise owners. If your questions look more like a human clinical practice — production against collections, hygiene reappointment, case acceptance — see Power BI for dental practices, the closest sibling to this page. Contact is form-only: send your request and we'll reply with a scope estimate.

How it works

From practice software to owner-ready numbers

  1. 1

    Send your request

Tell us which practice system you run, how many hospitals, and the questions you want answered first. We reply with a scope and hours estimate — including the confirmed connection route for your PIMS — before any work begins. Hours deduct only for builds you approve.

  2. 2

    We model & build

A senior US-based engineer joins invoices, visits, patients, doctors and inventory into one model, writes the measures for ACT, production, retention and compliance on your agreed definitions, and reconciles totals back to your system — typically 3–5 business days.

  3. 3

    Publish & maintain

We publish to your workspace, set scheduled refresh so yesterday's invoices are in this morning's numbers, and hand over the model and credentials. You own everything; we keep it healthy from your banked hours.

Representative perspective

Revenue looked flat, so we assumed we were steady. Seeing visit count falling while ACT rose was the first time anyone could point at the actual problem — and it was patients we had already lost.
Owner, single-site small-animal hospital

Representative perspective

Every hospital calculated doctor production slightly differently, so associate comp conversations were painful. Agreeing one definition and putting it in one model ended the argument.
Administrator, multi-hospital veterinary group

Cloud platforms such as ezyVet, IDEXX Neo and Digitail through their API or an authorized export, and server-based systems such as AVImark and Cornerstone through a database-level connection or scheduled export from the practice server. The exact route depends on your version and hosting, and we confirm it in the scope estimate before any hours are used.

HIPAA governs human protected health information, so animal patient records sit outside it. What does apply is your state practice act and client-confidentiality rules, plus ordinary care with client contact and payment data. We build inside your own Microsoft tenant under your access controls; your counsel remains the authority on your obligations.

Products such as VetSuccess ship pre-built dashboards that need no configuration — that is their strength and their limit. We build on your definitions instead: your doctor-production formula, your compliance rules, your wellness plan logic, joined to accounting or payroll data a packaged tool never sees. You own the model outright.

Yes. Each hospital is modeled on the same definitions — ACT, visits per DVM, doctor production, retention — then rolled up for the group with drill-down to the individual doctor. Rollups across hospitals running different practice management systems are possible and scoped case by case.

Yes. We configure scheduled refresh in the Power BI service so yesterday's invoices and visits are in the numbers each morning, with no one exporting or pasting anything. How often it can refresh depends on how your platform releases data, which we confirm during scoping.
