Power BI vs Looker Studio: An Honest Comparison
This power bi vs looker studio comparison comes down to one trade: Looker Studio is free and effortless for Google-stack marketing data; Power BI costs money and asks more of you, but handles data modeling, big volumes, and on-premises sources that Looker Studio can’t touch. Here is the side-by-side, and when each wins.
What is the real difference between the two tools?
Looker Studio is a free, browser-based report builder that shines at visualizing Google-ecosystem data — GA4, Google Ads, Sheets, BigQuery. Power BI is Microsoft’s full business-intelligence platform: a modeling engine, the DAX formula language, and enterprise refresh and security, licensed per user.
A naming note: in April 2026 Google renamed Looker Studio back to its original name, Data Studio, with the paid edition becoming Data Studio Pro, as announced on the Google Cloud blog (opens in new tab). Existing reports carried over unchanged. This guide keeps the Looker Studio name because it is still what most people search for.
Calling them competitors slightly flatters both. Looker Studio is a presentation layer: it draws charts over data that already lives somewhere queryable. Power BI is a data platform that happens to include charts: it imports data into a compressed in-memory semantic model, lets you define relationships and measures in DAX (Data Analysis Expressions, its formula language), and then serves visuals from that model. When your data is one clean Google source, the platform layer is overhead. When your data is five systems that disagree with each other, the platform layer is the product — the same distinction that runs through our Power BI vs Tableau cost comparison.
How do pricing, limits, and features compare side by side?
The structural differences fit in one table: Looker Studio is free with light limits and a Google-shaped connector library; Power BI is licensed per user with documented model-size and refresh allowances — 1 GB models and eight refreshes a day on Pro, per Microsoft — plus a modeling engine Looker Studio has no answer to.
| Dimension | Power BI | Looker Studio |
|---|---|---|
| Price | Pro is licensed per user/month (Microsoft lists $14); free Desktop for authoring | Core product free; paid Pro tier per user for team features |
| Model size / data limits | 1 GB per model on Pro; 100 GB on Premium Per User (per Microsoft docs) | No local model — queries live sources; practical limits come from the source and connector |
| Scheduled refresh | Up to 8/day on Pro, 48/day on Premium Per User | Data freshness set per source (e.g. every 15 min for some connectors); no model to refresh |
| Calculations | Full DAX measure language: time intelligence, cross-table logic, running totals | Calculated fields — fine for arithmetic and CASE logic, no cross-source measure engine |
| On-premises data | Free on-premises data gateway for SQL Server, Oracle, files, and more | No native gateway; on-prem data needs syncing to the cloud or paid third-party connectors |
| Row-level security | Built-in RLS roles per user | Limited; viewer-based filtering on some sources only |
| Best-fit ecosystem | Microsoft 365, Excel, Teams, Fabric | GA4, Google Ads, Sheets, BigQuery |
The Power BI numbers above are documented in Microsoft’s data refresh documentation (opens in new tab), which is worth reading before you commit either way — refresh cadence is the limit teams hit first. For the subscription math on the Microsoft side, our Power BI licensing cost guide breaks down what a viewer, an author, and a heavy analyst each actually need.
When is Looker Studio the right choice?
Choose Looker Studio when your data lives in Google products, your audience needs shareable web reports rather than governed analytics, and the price needs to be zero. For agency marketing reports over GA4 and Google Ads, it is genuinely excellent and Power BI would be overkill.
The honest cases for Looker Studio: client-facing marketing dashboards (share a link, no viewer licenses to buy); Google Sheets–driven trackers for small teams; BigQuery visualization inside an existing Google Cloud stack; and any situation where the alternative is no dashboard at all because there is no budget. Its ceiling is real, but plenty of reporting never needs to go above it — recommending a licensed platform for a five-widget GA4 report is how consultants lose trust.
When does Power BI clearly win?
Power BI wins the moment reporting needs a data model: combining several systems into one version of the truth, DAX measures like year-to-date and budget variance, on-premises databases behind a gateway, row-level security, or millions of rows compressed in memory. Looker Studio has no real answer to any of these.
It also wins on operational fit for Microsoft-centric companies — Excel users analyze the same model with pivot tables, reports live in Teams, and access follows Microsoft 365 accounts. The pattern we see repeatedly: a team builds its first revenue dashboard in Looker Studio because it is free, then hits the wall when finance asks to reconcile Google Ads spend against the accounting system. Blending sources with different grain and keys is a modeling problem, and modeling is precisely the layer Power BI has and Looker Studio lacks.
Is Looker Studio the same as Looker, and does Looker need a data model first?
No. Looker Studio, now Data Studio, is the free report builder; Looker is Google’s separate enterprise BI platform, built around a governed semantic model written in LookML inside a Looker project. Governed Looker dashboards need that LookML project first, though Self-service Explores now allow some exploration of uploaded files without one.
Google’s documentation on creating self-service Explores (opens in new tab) sets out the limits. An admin has to enable the feature, the user needs the upload_data permission, and uploads are CSV or Excel files of 100 MB or less, or an imported Google Sheet. Google labels the resulting Explores uncertified and ungoverned, notes that database administrators can see the uploaded data, and warns that they may be lost in an instance migration or backup recovery. That makes them a quick first look, not a reporting foundation.
Power BI has the mirror-image trade-off. A first report on a flat file such as one Excel sheet or CSV takes about an hour in Power BI Desktop, with no modeling at all. A build that lasts needs a star schema, with fact tables of transactions joined to dimension tables for dates, customers, and products; our Power BI star schema guide walks through that design. If you are weighing a move off governed Looker rather than the free tool, our Looker to Power BI migration page covers how LookML views and explores are rebuilt as a Power BI semantic model.
How do you move from Looker Studio to Power BI?
There is no import button — you rebuild, and that is mostly good news. The move is a chance to replace blended connectors and stacked calculated fields with a proper semantic model, so reports get faster and numbers finally match. Most focused migrations take days to a few weeks.
The practical sequence: inventory which Looker Studio reports people actually open (usually far fewer than exist); map each data source to a Power BI connector — GA4, Google Ads, and BigQuery all have them; rebuild the data logic as a model with DAX measures rather than per-chart calculated fields; then recreate only the visuals that earn their place. If you want it done in one pass with the model built properly, our Power BI migration service covers exactly this route, scoped and quoted in hours before any work starts.

FAQ
Frequently asked questions
The core product is free: unlimited reports, sharing, and the native Google connectors (GA4, Ads, Sheets, BigQuery). Google also sells a paid Pro tier per user for team workspaces and enterprise support, and many third-party connectors for non-Google sources are paid subscriptions — which is where ‘free’ quietly ends for mixed-stack teams.
Not the way Power BI does. Power BI ships a free on-premises data gateway that securely refreshes data from local SQL Server, Oracle, files, and more. Looker Studio has no equivalent gateway; reaching on-premises data generally means exposing the database, syncing it to BigQuery, or paying for a third-party connector.
Looker Studio, comfortably. It is browser-only, and a GA4 or Sheets report takes minutes with no installation. Power BI asks more up front — Desktop runs on Windows, and real reports involve data modeling and DAX — but that same depth is what lets it handle problems Looker Studio simply can’t.
Reports don’t port automatically; visuals are rebuilt in Power BI Desktop. The real work — and the real win — is rebuilding blended data and calculated fields as a proper semantic model with DAX measures, which usually fixes the speed and trust problems that prompted the move. A focused migration typically takes days to a few weeks, not months.
For governed content, yes: Looker dashboards are built on a LookML model in a Looker project. Self-service Explores are the exception. If an admin enables them, users with upload permission can explore a CSV or Excel file of up to 100 MB without LookML, but Google marks those Explores as uncertified and ungoverned.
