What does a Voyager-to-Power-BI build involve?
It is reporting built around your data rather than a template dropped on top of it. We map your entities, properties, units, leases, charge codes, and work orders into a model, write the measures that define occupancy, delinquency, and NOI the way your business defines them, and then maintain that model as the portfolio changes. You review; we build and keep it running.
Voyager is strong software, and the day-to-day operational reports it ships with cover a lot of ground. Where portfolios get stuck is the layer above: ranking every property on one page, watching a delinquency trend rather than a snapshot, or handing an owner a single link that is always current. A Power BI layer over the same records makes that click-through simple. This is the Voyager-specific version of our sector work — for the wider operational picture see our Power BI for property management page, and for owner, fund, and investor reporting see Power BI for real estate.
Which reports can you build from Voyager?
We rebuild the views that are hardest to assemble in one place: occupancy and vacancy ranked across the portfolio with unit-level detail; rent roll with lease expirations and renewal exposure; delinquency aging by tenant, property, and bucket; collections measured against billed charges; work-order volume, backlog, and completion time; unit turnover and days-to-ready; and NOI per property against budget. Each is interactive — filter by entity, region, property, or period and drill to the underlying record.
For owners and asset managers, the value usually sits in the comparison and the trend. A single property's delinquency number rarely changes a decision; the same number ranked against forty other properties and trended over six quarters does. The same is true of turn time, which quietly drives lost rent and only becomes visible when it is measured consistently across a portfolio. We scope only the reports you need, so a first engagement stays focused rather than becoming an open-ended data program.
Voyager reporting vs the Power BI version
Here is where Voyager's built-in reporting typically stops for a multi-property operator, and where the dashboard we build picks up — the same underlying data, made portfolio-wide, trendable, and drillable.
Yardi Voyager built-in reporting vs the custom Power BI dashboard we build
| Report |
Typical Voyager limitation |
Power BI dashboard version |
| Occupancy & vacancy |
Reported per property, usually as of a chosen date |
Every property ranked side by side, with occupancy trended over time |
| Rent roll |
A point-in-time list, exported and reformatted for owners |
Live roll with lease expirations and renewal exposure by month |
| Delinquency |
Aging snapshot per property; history means keeping old exports |
Aging buckets across the portfolio with quarter-over-quarter trend |
| Collections |
Billed and received sit in separate ledgers and reports |
Collected against billed, by property and charge code, month by month |
| Work orders |
Operational lists and counts, largely current-state |
Backlog, completion time, and volume by category and technician |
| Unit turnover |
Turn steps tracked, but days-to-ready is rarely reported as a trend |
Turn time and lost-rent days trended and compared across properties |
| NOI by property |
Financial statements per entity; roll-ups take a spreadsheet |
NOI per property against budget on one page, drillable to the ledger |
| Owner reporting |
Assembled and distributed each cycle as files |
One always-current report, filtered per owner by row-level security |
How do you connect Voyager to Power BI?
Honestly: there is no first-party Microsoft connector for Voyager, and anyone promising a one-click link is overselling it. The realistic routes are Yardi's own data-access offering if you license it, a read connection to the Voyager database where your deployment and contract allow it, Yardi's published web services, scheduled exports, or a data warehouse your Voyager data already lands in.
Which one fits depends on your agreement as much as your technology, and this sector is known for gating data access by plan or treating it as a paid add-on — so we establish what you are entitled to before designing around it. Where a database read is available, Power BI's documented SQL Server connector (opens in new tab) is usually the cleanest path, and if that database sits on your own network we configure Microsoft's on-premises data gateway (opens in new tab) so scheduled refresh can reach it. Where only exports exist, we build a dependable pipeline from those rather than pretend a live connection is there. We are not affiliated with Yardi or Microsoft and imply no partnership; we use supported, documented tools. Shaping leases, ledgers, and work orders into a model that answers portfolio questions is the same discipline covered on our data modeling & DAX page.
What does the build cost?
You buy prepaid Flex hours that never expire: Starter $2,500, Growth $4,600, or Power $8,000, with hourly rates from $100 on the largest block. A first occupancy, delinquency, and NOI build typically fits inside one block. There is no project minimum and no retainer — refill only when you are ready for more.
Before any work starts you get a scope and hours estimate, and hours deduct only for builds you approve. That keeps a first engagement small and testable instead of an open-ended commitment, which matters when the data-access route still has to be confirmed with your Yardi agreement. If you are building a budget for this internally, our guide to Power BI dashboard development cost breaks down what drives the number, and how prepaid Flex hours work covers the model in full. This page stays focused on your Voyager build.
How fast can you build it, and how does refresh work?
Once you approve the scope estimate, most builds ship in 3–5 business days, senior-led from start to finish. We then set the dataset to scheduled refresh so the numbers update on their own — daily or more often, within Microsoft's limits — which means occupancy, delinquency, and NOI stay current without anyone exporting from Voyager on a Monday morning.
Turnaround depends on scope, but a focused first dashboard covering occupancy, delinquency aging, and NOI by property usually lands inside that window. After go-live, the refresh cadence is set to match your reporting rhythm. Microsoft's documented data refresh limits (opens in new tab) apply: Power BI Pro supports up to eight scheduled refreshes per day, with more frequent options on higher tiers. We configure the schedule, monitor it, and fix breakages from your banked hours — the maintenance part that connector tools leave to you.
Who is this build for?
It fits owners, operations leaders, and portfolio accountants at property management companies running Voyager with no in-house BI team. If your questions are broader than one platform — several systems, multiple funds, or investor-facing reporting — the sector pages linked above cover that ground, and commercial landlords running MRI instead should start with our MRI Software Power BI dashboard page, which covers lease abstraction, CAM reconciliation, and ASC 842 reporting. Residential operators on AppFolio face a different first question — API access is gated by plan tier and there is no database to read — which our AppFolio Power BI dashboard page covers route by route. Smaller portfolios and HOA managers on Buildium, where the API or CSV export has to be landed in a warehouse before Power BI reads it, are covered on our Buildium Power BI dashboard page. Multifamily operators on RealPage, where unit-level trade-out, loss to lease and economic occupancy drive the conversation, should start with our RealPage Power BI dashboard build instead. Operators on Entrata, where the choice between Data Share, the documented v1 API and scheduled exports decides the refresh design, are covered on our Entrata Power BI dashboard page. Here, the focus is your Voyager data.
The ideal fit is an operator whose monthly owner pack is assembled by hand from exports, an operations lead who wants turn time and work-order backlog visible before they show up in lost rent, or a controller who needs delinquency and NOI across every entity on one page. It also suits teams with an existing Power BI report that has gone slow or untrusted and needs a senior pair of hands. Contact is form-only — send your request and we'll reply with a scope estimate.
